1. Information We Collect
Meerkly collects information you provide when creating your account (name, email address, billing information) as well as data related to your use of our service (Google reviews, generated responses, activity history).
2. How We Use Your Data
Your data is used to:
- Provide and improve the Meerkly service
- Generate review responses via artificial intelligence
- Send you notifications and alerts
- Process your payments securely
- Contact you regarding your account when needed
3. Applicable Legal Framework
Meerkly complies with Quebec and Canadian laws governing the protection of personal information, in particular:
- Loi 25 (Loi modernisant des dispositions législatives en matière de protection des renseignements personnels), Quebec's modernized private-sector privacy law.
- PIPEDA, the federal Personal Information Protection and Electronic Documents Act (Loi sur la protection des renseignements personnels et les documents électroniques, LPRPDE).
4. Data Sharing
We never sell your personal data to third parties. We may share your data with trusted service providers (subcontractors) solely for the purpose of providing our service.
5. Cross-Border Transfers (outside Quebec)
Some of our subcontractors process data outside the province of Quebec, primarily in the United States. The following processors are currently used:
- Supabase (USA), database and authentication hosting
- Stripe (USA), payment processing
- Resend (USA), transactional email delivery
- Twilio (USA), SMS notifications
- Anthropic (USA), AI generation of review responses
Before relying on any subcontractor located outside Quebec, Meerkly conducts a privacy impact assessment and ensures, by contract and through technical safeguards, that the personal information receives a level of protection equivalent to what is required under Quebec law.
6. Security
All data is encrypted in transit (TLS) and at rest. We apply security best practices to protect your information. Access to your data is strictly limited to authorized members of our team.
7. Data Retention
Your data is retained for as long as your account is active. If you delete your account, your personal data will be erased within 30 days, unless legally required to retain it.
8. Your Rights
Under applicable law, you have the right to:
- Access your personal data
- Correct inaccurate information
- Request deletion of your data
- Object to or withdraw consent to the processing of your data
- Export your data (portability)
- File a complaint with the Commission d'accès à l'information du Québec (Quebec Access to Information Commission) if you believe your rights have not been respected, cai.gouv.qc.ca.

9. Privacy Officer (RPRP)
In accordance with Quebec's Loi 25, Meerkly has designated a person responsible for the protection of personal information (responsable de la protection des renseignements personnels, RPRP). This officer oversees compliance with this policy and handles access, correction, and complaint requests.

10. Cookies and Analytics
Meerkly uses cookies essential to service operation (authentication, preferences). With your consent, given through the cookie banner, we also use Google Analytics 4 to measure how the site is used (pages viewed, approximate traffic sources) and the Meta (Facebook) advertising pixel to measure our ad campaigns. These are loaded only after you accept; choosing "Essentials only" keeps them disabled.
Separately, when you request a free audit, we record the marketing source of that request, UTM parameters, the referring website, and ad click identifiers (e.g. Facebook's fbclid, Google's gclid). This information comes from the page address, is stored with the audit, and is used only to measure which campaigns bring businesses to our tool.

We reserve the right to modify this policy. In case of a major change, you will be notified by email at least 30 days before the changes take effect.

13. AI Receptionist Bookings (Milo add-on)
This section applies only to businesses that use the AI Receptionist add-on (Milo) and connect their Google Calendar so Milo can book appointments over the phone.
Google Calendar access
When a business connects its Google Calendar for the receptionist add-on, Meerkly accesses the calendar's free/busy availability and creates, updates, and deletes calendar events for the appointments Milo books (written into a dedicated "Réservations Meerkly" calendar). Meerkly's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. This calendar data is used only to provide the appointment-booking feature; it is never sold, never used for advertising, and never used to train generalized artificial-intelligence models.
End-customer booking data
For businesses using the receptionist, Meerkly processes the name and phone number of the business's customers who book an appointment by phone, solely to create, confirm, remind about, and cancel their appointments.
SMS confirmations and reminders
The appointment confirmation and reminder texts are transactional: they are sent because the person booked an appointment. Recipients can reply STOP to unsubscribe from these messages, or ANNULER to cancel the appointment.
